<figure class="table"><table><tbody><tr><td style="background-color:#f2f2f2;padding:20px;text-align:center;">Before the Order Proposals and the Replenishment report for your store are generated, you will need to set up <a href="https://support.shelfplanner.com/en/article/lead-times" target="_blank" rel="noopener noreferrer">Lead Times</a> and <a href="https://support.shelfplanner.com/en/article/weeks-of-stock" target="_blank" rel="noopener noreferrer">Weeks of Stock</a> for your store.</td></tr></tbody></table></figure><figure class="image"><img src="https://cdn-assets.productfruits.com/004faec7-ad3a-4228-a1a8-a7b598a75c39"></figure><h2>Order Proposal based on Ideal Stock</h2><p><span style="background-color:rgb(251,251,251);color:rgb(51,65,85);">The Shelf Planner engine uses your sales forecast for the coming weeks to understand whether you are understocked, or overstocked.</span></p><p><span style="background-color:rgb(251,251,251);color:rgb(51,65,85);">You do not necessarily want to replenish all the items in your store. You can select a single item or place multiple orders for the same item over time.&nbsp;</span></p><p>In the example below, the Order Proposal for the selected product is 416 units (<span style="color:hsl(210,75%,60%);">4</span>). This number is based on:</p><ul><li>Ideal Stock (<span style="color:hsl(210,75%,60%);">1</span>) for the product (based on product parameters and sales forecast)</li><li>Current Stock (<span style="color:hsl(210,75%,60%);">2</span>) - your current inventory, synced with your store)</li><li>Inbound Stock (<span style="color:hsl(210,75%,60%);">3</span>) - any incoming orders that you placed</li></ul><figure class="image"><img src="https://cdn-assets.productfruits.com/570b4179-1030-4108-b546-7587695b6d3e"></figure><h2>Order Proposal based on Minimum Stock</h2><p>For some of your products, it can be difficult to create an accurate forecast. Examples could be newly launched products, items with random sales, or items with extreme seasonality.</p><p>Our machine learning algorithms will pick up this behaviour and highlight these items in that case. For some of these products, it might be better to set a Minimum Stock threshold instead of using the Ideal Stock for the Order Recommendations.&nbsp;</p><h3>Set Minimum Stock</h3><p>To set a minimum stock, open the products settings:</p><figure class="image"><img src="https://cdn-assets.productfruits.com/ba4054c8-cc6d-4f56-956a-2a5d4c7920bb"></figure><p>In this example, we set the Minimum Stock to 750 units. Instead of using the Weeks of Stock and the Lead Time to define the order proposals, the Min Stock is used to determine the Order Proposal:</p><figure class="image"><img src="https://cdn-assets.productfruits.com/beae2060-8b6c-4f6a-9c16-8fcce899cfb7"></figure><p>As shown in the example above, the current stock (<span style="color:hsl(210,75%,60%);">1</span>) is 514 units. There is no incoming Stock (2). Becuase the minimum is set to 750 units, the Order Proposal is 750 - 514 = 236 units.&nbsp;</p><p>The Weeks of Stock (<span style="color:hsl(210,75%,60%);">4</span>) is in this example ignored.&nbsp;</p><p>When we set the Minimum Stock back to 100, the Order Proposal is recalculated:</p><figure class="image"><img src="https://cdn-assets.productfruits.com/0058b977-3121-4725-86d2-85acef4f41d1"></figure><p>The Min Stock is now set to 100 and the Ideal Stock is using the Weeks of Stock and Lead Time (<span style="color:hsl(210,75%,60%);">1</span>). With a Lead Time of 2 and a Weeks of Stock setting of 6 weeks, the Ideal Stock uses 6 weeks of Sales to calculate the Ideal Stock, in this case 426 units:</p><figure class="image"><img src="https://cdn-assets.productfruits.com/538b9f99-5d1d-4388-b304-4ce237af1b2a"></figure><p>As you can see in the example below, the Forecast for the next 8 weeks is 593 units, hence the Weeks to Stock out is 7 weeks and technically, this item is 'overstocked':</p><figure class="image"><img src="https://cdn-assets.productfruits.com/2cac5ba5-a1ca-458e-8197-6b29553c9804"></figure><p>&nbsp;</p><p>&nbsp;</p>

<h2>Weeks of Stock</h2><p>Weeks of Stock, also known as Weeks of Supply (WoS) or 'Weeks of Cover' (WoC), is a key metric used in inventory management to estimate how long your current inventory will last based on your sales rate. It helps you understand if you have enough stock to meet future demand and avoid stockouts or overstocking. &nbsp;</p><p>In Shelf Planner, we use the Weeks of Stock (WoS) parameter to define how much stock you should carry, giving you a strategic way to align your inventory levels with the sales velocity and demand patterns in your store.&nbsp;</p><h2>How to Use Weeks of Stock in Shelf Planner</h2><p>There are two ways to define the Weeks of Stock for the products in your store:</p><ol><li>Default Weeks of Stock</li><li>Weeks of Stock by Product (SKU)</li></ol><figure class="image"><img src="https://cdn-assets.productfruits.com/a1e9742a-0809-49e3-90ab-dde1493abdd3"></figure><p>Similar to the Lead Times, we use a so called cascading logic for the Weeks of Stock. This means, that if you don't add a Weeks of Stock Parameter on a product level, the algorithm will use the Default Weeks of Stock instead.</p><h3>Default Weeks of Stock</h3><p>When you start with Shelf Planner for the first time, we use a default Weeks of Stock of <strong>6 weeks</strong>. This parameter can be changed under the Replenishment Settings:</p><figure class="image"><img src="https://cdn-assets.productfruits.com/5feb53c0-124f-40cf-a1a7-add4641a600a"></figure><p>The default Weeks of Stock is different for every retailer and will also differ per industry, or even categories within industries. It</p><h3>Weeks of Stock by Product</h3><p>For each Product (SKU) you can determine the Weeks of Stock in the Product Settings pages:</p><figure class="image"><img src="https://cdn-assets.productfruits.com/cbbd50cc-7b77-48b5-80ce-a04483719e26"></figure><p>When you start using the app for the first time, this field is empty and for all products the system is using the Default Weeks of Stock. When you enter a new value here, the system will automatically and immediately recalculate your Ideal Stock and the updated Order Proposal.&nbsp;</p><p>For example, the item below has an Ideal Stock of 241 units. This number if based on the Lead Time of 4 weeks for this products and a Weeks of Stock of 8 weeks. The system also show that this item will run out in 5 weeks and therefor triggers a reorder recommendation.&nbsp;</p><figure class="image"><img src="https://cdn-assets.productfruits.com/7e837e6d-0638-4e0f-a1a4-b5a91119b05e"></figure><p>If we change the Weeks of Stock Parameter to 4 weeks, this should mean the Ideal Stock is reduced.</p><figure class="image"><img src="https://cdn-assets.productfruits.com/0320b225-185c-4cff-99b1-c3a0ff4815ba"></figure><p>As soon as you save the data, the system will immediately recalculate the new Ideal Stock, which is now based on 4 + 4 weeks of Lead Time and Weeks of Stock.&nbsp;</p><p>As a result, the Ideal Stock is now 148 units instead of 241 and the Order Proposal is updated to 48 units instead of 141:</p><figure class="image"><img src="https://cdn-assets.productfruits.com/efbeae55-3234-46ba-b267-7bd64af36faa"></figure><h2>Prioritization Rules</h2><p>The Weeks of Stock uses a so called 'cascading logic' - when you enter a value for WoS on a product level, this is the leading parameter;</p><figure class="image"><img src="https://cdn-assets.productfruits.com/79150d52-f9e0-4113-bdca-c6eea0f1c79e"></figure><p>&nbsp;</p><p>This also means you don't have to enter a WoS for all products. You can simply enter a default for your entire store and change the value for a few selected items.&nbsp;</p><p>If no WoS is present for a product, it will automatically use the Default Weeks of Stock.</p><h2>Guidelines &amp; Recommendations</h2><p>Your ideal stock levels can vary based on your specific circumstances, such as supplier lead times, customer demand patterns, and storage capacity. Use these recommendations as a foundation, but always be ready to adjust based on what works best for your business. We have summed up the most common categories and provided some guidelines to get this set up for your store.</p><p><strong>Everyday Products (like groceries and toiletries):</strong></p><ul><li><strong>Recommendation:</strong> Keep 2 to 4 weeks' worth of stock.</li><li><strong>Why?</strong> These items sell steadily and don't last forever on the shelf. This amount helps you keep shelves full without overcrowding your storage.</li></ul><p><strong>Seasonal or Holiday Items:</strong></p><ul><li><strong>Recommendation:</strong> Stock up to 6 to 8 weeks' worth during busy seasons, and drop to 2 to 3 weeks' worth when it's slower.</li><li><strong>Why?</strong> You'll need more stock to meet the rush during peak times like holidays. After the season, reduce stock to save on storage and avoid having too much left over.</li></ul><p><strong>Perishable Goods (like fresh food or skincare products):</strong></p><ul><li><strong>Recommendation:</strong> Keep just 1 to 3 weeks of stock.</li><li><strong>Why?</strong> These products can go bad quickly. Keeping less on hand means fresher products for your customers and less waste for you.</li></ul><p><strong>Electronics and Appliances:</strong></p><ul><li><strong>Recommendation:</strong> Maintain 4 to 6 weeks of stock.</li><li><strong>Why?</strong> These items often have longer lead times due to complex supply chains. They also tend to be higher in value, so having a buffer helps manage supplier delays without over-investing in inventory.</li></ul><p><strong>Fashion and Apparel:</strong></p><ul><li><strong>Recommendation:</strong> Keep 4 to 8 weeks of stock, depending on trends and seasonality.</li><li><strong>Why?</strong> Fashion trends can change rapidly, and having a flexible stock level allows you to adapt quickly. To make sure you have a smooth journey, you need to consider a few key things: how much fuel you'll need, how often you'll stop for refills, and how long it takes to get from one gas station to another. Managing your inventory is quite similar!</p><p><strong>Weeks of Stock (WoS):</strong></p><p>Think of WoS as the amount of fuel you want to keep in your tank at all times. It's the number of weeks you plan to have enough stock on hand to meet customer demand. If you have 4 weeks of stock, it means you have enough products to last for 4 weeks without needing a refill.</p><p><strong>Lead Time:</strong></p><p>Lead Time is like the distance between gas stations on your road trip. It's the time it takes from when you place an order with your supplier to when the products arrive at your store. If your supplier takes 2 weeks to deliver new stock, your lead time is 2 weeks.</p><p><strong>Ideal Stock:</strong></p><p>Ideal Stock is the perfect amount of fuel you need to reach the next gas station comfortably without running out. It's the optimal inventory level you should have on hand to meet customer demand, considering both your WoS and Lead Time. To find your Ideal Stock, you need to know how much you sell (your sales forecast) and how long it takes to get new stock.</p><p><img src="https://cdn-assets.productfruits.com/45de0411-3efc-48fc-a0de-d4ca6907ec57"></p><h3>How they work together</h3><p><strong>1. Set Your Weeks of Stock</strong></p><p>Decide how many weeks of stock you want to keep based on your sales patterns, storage space, and product shelf life. For example, if you sell 100 units per week and want to keep 4 weeks of stock, you aim to have 400 units on hand.</p><p><strong>2. Consider Lead Time</strong></p><p>If your supplier takes 2 weeks to deliver new stock, you need to place an order before your current stock runs out. In this case, you should place an order when your stock level drops to 200 units (2 weeks of stock) to ensure you have enough time to receive the new stock before you run out.</p><p><strong>3. Calculating Ideal Stock</strong></p><p>As mentioned before, Shelf Planner automatically calculates your Ideal Stock based on Sales Forecast, Lead Time and Weeks of Stock.&nbsp;</p><p>Your Ideal Stock is the sum of the stock you need during the lead time and the stock you want to keep as a buffer (WoS). Using the previous example:</p><ul><li>Sales forecast: 100 units per week</li><li>Lead Time: 2 weeks</li><li>WoS: 4 weeks</li><li>Ideal Stock = (Lead Time * Sales forecast) + (WoS * Sales forecast)</li><li>Ideal Stock = (2 * 100) + (4 * 100) = 200 + 400 = 600 units</li></ul><p>By understanding and balancing these three components, you can ensure that your store always has the right amount of stock to meet customer demand without overfilling your storage space.</p><h2>Benefits</h2><p>Here’s why it’s valuable:</p><p><strong>1. Match Inventory with Sales</strong></p><p>Weeks of Stock shows how long your current inventory will last based on your sales forecast. This helps you avoid:</p><ul><li>Overstocking, which ties up cash and increases storage costs.</li><li>Stockouts, which lead to lost sales and customer dissatisfaction.</li></ul><p><strong>2. Simplifies Planning</strong></p><p>Instead of trying to guess exact order quantities, you can set a target like "I want to keep 4 weeks of stock on hand", and the system calculates what needs to be ordered based on sales trends for each individual item.</p><p><strong>3. Adjusts for Seasonality</strong></p><p>Weeks of Stock works well with fluctuating demand. During peak seasons, a retailer might increase WoS to prepare for higher sales. In slower periods, they can reduce it to avoid excess.</p><p><strong>4. Improves Cash Flow Management</strong></p><p>By holding only what’s needed for the defined coverage period, retailers can free up working capital, which is especially important for small businesses.</p><p><strong>5. Enables Automation</strong></p><p>Tools like Shelf Planner use WoS to automate purchasing decisions. For example, if a product is selling faster than expected and dips below the target weeks of stock, the system will trigger a reorder proposal.</p>

<h2>What is Lead Time?</h2><p>Lead times are a crucial concept in retail, impacting how businesses plan, manage inventory, and meet customer demand. In this article we’ll provide you with an overview of how lead times work for a retailer and how you can make the most of them in your inventory management.</p><h2>3 Levels of Lead Times</h2><p>Shelf Planner allows you to set lead times on different levels:</p><ol><li>Default Lead Time</li><li>Lead Time by Supplier</li><li>Lead Time by Product</li></ol><p>We use a set of rules, a so called cascading logic that makes sures the algorithm always takes into account at least one of the parameters.</p><p>This means that if no lead time is set by Product (SKU), the Lead Time by Supplier will be used. If no Supplier lead time is set, the Default Lead-Time is used:</p><figure class="image"><img src="https://cdn-assets.productfruits.com/092240e9-c6f8-443b-bd4e-4762d52d923a"></figure><p>This cascading logic basically means that if you don't want to set up a lead time for each product, the replenishment proposals will be calculated using the Lead Time by Supplier.</p><p>At the same time, if you don't have a lead time set by supplier, the calculations will use the Default Lead Time.&nbsp;</p><p>We recommend to at least use a <strong>lead time by Supplier</strong> to improve the order proposals.&nbsp;</p><h2>How to Manage Lead Times in Shelf Planner</h2><p>You can manage lead times on three different levels</p><h3>1. Default Lead Time</h3><p>The default Lead Time is set in the <strong>Settings</strong> page.&nbsp;</p><figure class="image image_resized" style="width:60.92%;"><img src="https://cdn-assets.productfruits.com/4be1c680-009d-4de9-a1c1-21c12ca93f01"></figure><p>The Default Lead Time is used, when no Supplier Lead Time is present, or when no Product Lead Times is entered. It's a fall back to make sure there is always a lead time present to calculate your order proposals.</p><h3>2. Lead Time by Supplier</h3><p>The Lead Time by Supplier is managed in the Supplier Settings on the <strong>Supplier pages</strong>.&nbsp;</p><p>When you enter or update a Supplier, you can set the Lead Time for all product you carry from this supplier:</p><figure class="image image_resized" style="width:71.88%;"><img src="https://cdn-assets.productfruits.com/b2cf8433-5dd9-4fee-84b0-8a42a48fa442"></figure><p>&nbsp;</p><h3>3. Let's discuss the 3 main parameters you can manipulate to make the most out of your purchasing process.</p><h3>Weeks of Stock</h3><p>This measures how long your current inventory will last based on forecasted demand. It’s ideal for fast-moving items or seasonal products where flexibility is key.</p><h3>Lead Time</h3><p>This is the time it takes for suppliers to deliver your orders. Factoring in Lead Time ensures you reorder before running out of stock, accounting for supplier delays.</p><h3>Minimum Stock</h3><p>Also known as safety stock, Minimum Stock is the lowest level of inventory you aim to keep on hand. It acts as a buffer to cover unexpected demand spikes or supplier delays and is especially useful for stable, predictable items or long lead times.</p><h2>Why These Metrics Matter</h2><p>There are 3 main reasons why you want to set the parameters right:</p><h3>1. Avoid Stock Outs</h3><p>Combining Weeks of Stock or Minimum Stock with Lead Time ensures you reorder on time to meet demand.</p><h3>2. Reduce Excess Inventory</h3><p>Prevent overordering by tailoring stock levels to actual needs, freeing up cash flow for your business.</p><h3>3. Purchase with Flexibility</h3><p>Weeks of Stock is great for dynamic, fast-moving products, while Minimum Stock offers stability for slower-moving or critical items.</p><h2>Set Up Shelf Planner for Your Store</h2><h3>Step 1 - Set Up Weeks of Stock or Minimum Stock</h3><p>Choose the parameter that fits best for your products:</p><ul><li>Use the <strong>Weeks of Stock</strong> for items with fluctuating demand or high turnover. Typically, in Shelf Planner, these are your A-grade and B-grade products.</li><li>Use the <strong>Minimum Stock</strong> for predictable items or for items with long lead times.</li></ul><h3>Step 2 - Input Lead Time Data</h3><p>Set <a href="https://support.shelfplanner.com/en/article/set-up-suppliers#supplier-lead-time" target="_blank" rel="noopener noreferrer">Lead Times for Suppliers</a> and, if needed, for specific products. For example, Supplier A may have a 2-week lead time overall, but Product X might take 3 weeks to arrive.&nbsp;</p><h3>Step 3 - Review Order Proposals</h3><p>Shelf Planner combines your chosen stock parameters, Lead Time and the sales forecast to recommend precise reorder quantities. If you use Minimum Stock, the system ensures orders are placed when inventory drops to your safety level.&nbsp;</p><p>With Weeks of Stock, it calculates based on your coverage period and lead time. We call this the Ideal Stock.</p><h2>Practical Tips</h2><h3>1. Use Weeks of Stock for High-Demand Products</h3><p>Fast moving items benefit from flexible, dynamic reordering to match fluctuating sales patterns.</p><h3>2. Rely on Minimum Stock for Stability</h3><p>Critical Items or products with predictable demand are best managed with a fixed safety stock to avoid stock outs.</p><h3>3. Account for Lead Times</h3><p>Adjust for long or inconsistent supplier lead times by setting higher Minimum Stock or higher Weeks of Stock values.</p><h3>4. <h2>Ideal Stock</h2><p>The Ideal Stock is one of the key metrics used in this extension. It represents the stock you should have at your disposal to meet your customer demand. It is sometimes also referred to as Model Stock.</p><p>Simplified, the Ideal Stock takes into account these two parameters:</p><ol><li>Customer Demand Variation (for example, your actual demand exceeds your original sales forecast)</li><li>Supplier Delivery Variation (for example, supply deliveries are later than originally planned lead times)</li></ol><figure class="image"><img src="https://cdn-assets.productfruits.com/45de0411-3efc-48fc-a0de-d4ca6907ec57"></figure><p>&nbsp;</p><p>As illustrated in the image above, the <strong>Ideal Stock</strong> is determined by the <strong>Weeks of Stock</strong> and the <strong>Lead Time</strong> for the product. Both of these parameters are set in weeks.</p><p>For example, if you want to keep <strong>6 weeks of cover</strong>, and your supplier has <strong>2 weeks of lead time</strong> for the product, the ideal stock is calculated by summing the forecast (your customer demand) for the <strong>next 8 weeks</strong>.</p><p>Our forecasting engine is set up to find the ideal stock value for your products, based on your customer demand and any external factors. However, for some products, an accurate sales forecast is hard to be calculated. Luckily, the Shelf Planner engine figures out the behaviour of your products and recommends when to use the Ideal Stock, or when for example to order using other parameters.</p><h2>Minimum vs Ideal Stock</h2><p>When setting parameters for replenishment in retail, 'Weeks of Stock' and 'minimum stock' serve different purposes and are suitable for different scenarios. Here's a detailed comparison of when to use each:</p><h3>When to use Ideal Stock</h3><p>Ideal Stock is calculated using your Sales Forecast, your current and future stock and a number of parameters. In particular the Weeks of Stock parameters is the main driver. Weeks of Stock (sometimes referred to as Weeks of Cover) is a measure that indicates how many weeks the current inventory will last based on the forecasted demand.</p><h4><strong>1. Demand Fluctuation</strong></h4><p>When demand is highly variable or seasonal, 'Weeks of Stock' helps adjust inventory levels dynamically according to expected changes in sales patterns.</p><h4><strong>2. Fast-moving items</strong></h4><p>For items with high turnover rates, using 'Weeks of Stock' ensures that inventory levels are closely aligned with sales, minimising both stock-outs and excess inventory.</p><h4><strong>3. Forecast Accuracy</strong></h4><p>When you have a reliable sales forecast, 'Weeks of Stock' allows you to keep inventory levels appropriate for the expected demand.</p><h4><strong>4. Short Lead-times</strong></h4><p>If the lead time from suppliers is short and consistent, 'Weeks of Stock' can be effective because it allows for frequent adjustments to inventory levels based on recent sales data.</p><h2>When to use Minimum Stock</h2><p>Minimum stock, also known as safety stock or buffer stock, is the lowest quantity of inventory that you aim to have on hand to avoid stockouts during normal demand fluctuations and lead time variability.</p><h4><strong>1. Demand Stability</strong></h4><p>For items with stable and predictable demand, minimum stock levels can be set based on historical sales data and lead times to ensure sufficient inventory.</p><h4><strong>2. Critical Items</strong></h4><p>For critical items that must not run out of stock under any circumstances, setting a minimum stock level ensures there is always a buffer to meet unexpected demand or supply delays.</p><h4><strong>3. Less Frequent Replenishment</strong></h4><p>For items that are replenished less frequently, minimum stock helps ensure that you have enough inventory between replenishment cycles.</p><h4><strong>4.
